Position: Admin Exec
Located : Seri Kembangan
RESPONSIBILITIES
Office Management:
- Maintain and manage office supplies, ensuring stock levels are adequate.
- Organize and coordinate office operations and procedures to ensure efficiency.
- Handle maintenance requests and liaise with vendors for office repairs and services.
Administrative Support:
- Assist in preparing and managing correspondence, reports, and documents.
- Organize and coordinate meetings, and travel arrangements.
- Maintain and update filing systems, both electronic and physical.
- Assist in handling incoming calls, emails, and other communications.
Data Management:
- Maintain accurate and up-to-date records of employees, clients, and vendors.
- Assist with data entry, data management, and generating reports as required.
- Ensure confidentiality and secure handling of sensitive information.
Financial Administration:
- Assist with basic bookkeeping tasks, including processing invoices and managing petty cash.
- Support the finance department with expense reports and financial documentation.
Job Requirements
REQUIREMENTS
Education and Experience:
- Diploma in Business Administration, Office Management, or a related field.
- Minimum of 2 years of experience in an administrative or executive assistant role.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and accuracy.
- Ability to work independently with minimal supervision.
Personal Attributes:
- High level of integrity and discretion in handling confidential information.
- Professional demeanor with a positive attitude.
- Strong interpersonal skills and ability to work well in a team environment.
Technical Skills:
- Basic knowledge of office equipment (e.g., printers, copiers).
- Familiarity with basic bookkeeping or SQL accounting software is an advantage.
