Job Description

About the Role:

 

We are seeking a highly organized and proactive Head of Admin & Human Resource Operations to join our dynamic team. In this role, you will be responsible for overseeing all administrative and HR functions, ensuring smooth operations across various departments. This position is ideal for someone with strong leadership skills and a passion for streamlining processes to achieve operational excellence.

 

Key Responsibilities:

 

1.     Payment Management & Invoicing: Oversee payment processing to agents, staff, and vendors, including preparing and sending invoices, receipts, and maintaining payment schedules.

2.     Payroll & Timesheets: Process salaries, manage timesheets, distribute payslips, and handle EPF/SOCSO updates.

3.     Document & Agreement Management: Maintain accurate filing of profiles, quotations, agreements, and termination letters. Ensure agreements are stamped to avoid penalties.

4.     Tender & Site Visit Management: Manage tender submissions and perform site visits as needed.

5.     Training & Vetting Coordination: Coordinate training schedules and vetting processes for both local and Nepalese guards. Handle passport and permit renewals.

6.     Miscellaneous Admin Tasks: Support other team members with various administrative duties and manage usernames and passwords.

Job Requirements

Qualifications:

 

- Proven experience in an administrative or HR role, preferably in a supervisory position.

- Strong organizational and multitasking skills.

- Excellent communication skills, both written and verbal.

- Proficiency in Microsoft Office Suite.
