Job Description

Manage and oversee the delivery of all project documentation, excluding commercial documents, for various projects including eKYC, AI, or R&D grant initiatives. 
Prepare, maintain, and update key project documents, including: 
Project Kickoff Document: Outlines project objectives, timelines, roles, and responsibilities to ensure alignment among all stakeholders. 
Change Request Acknowledgment Form: Documents change requests from clients or stakeholders, tracks approval statuses, and records implementation details. 
Traceability Matrix: Ensures requirements are met by tracking each requirement from identification through to implementation and testing. 
Meeting Minutes: Captures discussions, decisions, and action items from client and internal meetings. 
Project Status Reports: Regularly updates stakeholders on progress, upcoming milestones, and any risks or issues. 
Risk and Issue Log: Tracks potential risks and active issues, along with mitigation strategies and resolutions. 
Testing and Quality Assurance Documentation: Records test cases, results, and quality checks performed during project delivery. 
User Manuals and Training Guides: Provides clients and internal teams with clear guidelines on system use and functionalities.
Attend meetings with the VP of AI Solutions (or relevant project leads) and clients, taking detailed notes and converting discussions into actionable schedules, to-do lists, and action items. 
Assist in tracking project progress, ensuring deadlines and milestones are met. 
Serve as a reminder for the VP or project lead regarding important follow-ups, deadlines, and scheduled meetings.
Collaborate with internal teams to ensure proper documentation and project updates. 
Facilitate communication between the VP or project lead, clients, and internal stakeholders for effective project execution. 

Job Requirements

Bachelor’s degree in a related field such as Business Administration, Project Management, Information Technology, Engineering, or Communications. 
Project Management Skills: Strong understanding of project lifecycle, agile methodologies, and the ability to manage multiple tasks simultaneously. 
Documentation Skills: Proficient in preparing and maintaining professional documentation, including meeting minutes, project status reports, and change request forms. 
Communication Skills: Strong verbal and written communication skills to interact effectively with clients, senior leadership, and internal teams. Capable of conveying complex information clearly and concisely. 
Organizational Skills: High attention to detail with the ability to prioritize tasks, manage time efficiently, and keep track of project deadlines and deliverables. 
Analytical Skills: Ability to analyze project requirements, anticipate risks, and suggest practical solutions. Strong problem-solving skills to ensure smooth project execution. 
Client Management Skills: Experience in client-facing roles, including managing expectations, gathering requirements, and building positive relationships. 
Adaptability: Comfortable working in a fast-paced environment and adapting to changes in project scope and priorities. 
Team Collaboration: Ability to work well within cross-functional teams, fostering a collaborative atmosphere and ensuring alignment across departments. 

Nice-to-Have:

Certification in Project Management (e.g., PMP, CAPM, or PRINCE2) is a plus 
Experience with tools like Microsoft Project, Asana, Jira, or Trello is a plus. 
Familiarity with tools like Confluence or SharePoint. 
Technical Acumen: Basic understanding of technical concepts in AI, eKYC, or software development to better communicate with technical teams and understand project specifics.
